Report of new users and groups

I would like to have 2 reports:

1) New users added in a custom date range

2) New groups added in a custom date range

Users and groups come in from a sync with another system. As an administrator I would like to know what new users have been added so I can do analysis to see which groups are adding new members.

I would also like to know which new groups have been added so I can do analysis to see which new groups are using xMatters.

  • This information is key to ensuring users get the maximum benefit out of this great application. Our users and groups are synced in from another system as trigger fields are added/updated in that other system so I can't easily tell who has been added recently.

    As an administrator, I want to know which users have been added so I can confirm:

    1) They have added and tested devices

    2) They are added to the right groups

    3) They know how to respond when paged

    4) They have appropriate roles

     

    Similarly , as an administrator, I want to know which groups have been added so I can confirm:

    1) They are complete

    2) They have appropriate escalations

    3) They have the necessary group supervisors

    4) Shift rotations are configured appropriately

    If I can produce a report of users and groups added in say the prior week, I can do all of the above.

    This information also gives me the opportunity (based on group name) to see what new applications are being supported some of which already have built-in integrations with xMatters.

  • Hi Colum,

    Have you considered checking the Reports > System Audit Report > Persons report? Right now this can't be exported BUT it does show the WHEN_CREATED date for the person records and based on what I saw, between May 26 and June 03 this is likely to be around 49 people. I just copied the content of the page into Excel and did some slice and dice of the data. Likewise if I run the Reports > System Audit Report > Group report shows about 21 new groups in that week. Just be careful not to look at the WHEN_UPDATED column by mistake - updates show up too so you look at when it was created for anything brand new in the system.

  • Francois - that is exactly the information I am after.

    I have looked at the System Audit reports in the past but gave up because they were not exportable and the screen does not make it easy to navigate or search the data. To scroll to the right to get to the creation date, you have to go to the bottom of the page to get to the horizontal scroll bar but then you lose the column descriptions. You can't sort by person name or id. You can filter by the person's system id but  who is going to know that? You can't filter to get the "creates" only and every person has a create and at least one update. Of the 49 people, there were actually only 22 creates; the rest were updates of the same people.

    In short, it is great information but not easy to get what you want. I have done what you suggested and exported to excel so I can filter to get what I need for the time being.

    Ultimately, I would like this information to be available on the user and groups screens respectively. On the Reports screen you can search for events created within a date range. On the Users screen,  I would like to be able to search for users created within a date range. Similarly, on the Groups screen, I would like to be able to search for groups created within a date range.

    Improving those audit reports is still on our purview and at this time we don't have a release set. I think that to your point this is a useful thing to have, PM-6371 has been created with your specific verbiage and still being reviewed. It may not be a fast process but we will get to it!

    What happens to enhancement requests once they’re submitted?

    After a request is received, it’s reviewed by a team of xPerts. If we understand and like your idea, it’s "accepted". However, accepted product enhancements aren’t immediately added into the product. Sorry about that, but here's why:

    • All accepted product enhancements are added to a "backlog". Think of the backlog as the waiting area of your local department of motor vehicles; everyone's going to be hanging around until their number is called.
    • We plan major product updates, called releases, 6 – 9 months in advance. As we plan our releases, we review the backlog to look for themes based on what's happening in the market, customer interest, and innovation. 
    • For each theme, we create a "roadmap" and add backlog items to it.
    • Sometimes a great request fits a theme we already have planned.  We then look at how much work is required to implement an accepted product enhancement. If all the stars align, the enhancement request is added to the "release".
    • Sometimes a great idea doesn't fit one of our upcoming themes, or requires a lot of work to implement, and it has to wait.

    When an accepted request makes it into the product, it most likely won't have the name you gave it in the feature request. The release documentation summarizes the new features and functionality, but doesn't call out specific product enhancement requests.

    We can all agree this is a good idea! We don't have it on the backlog yet though so it's still being reviewed.

    An update can likely be provided once we know when this changes.

  • I just ran a "Get People"  api call and what to my wondering eyes did appear?

    But two date fields that left me grinning from ear to ear!

    whenCreated and whenUpdated 

    I'm going to use them ere they move out of sight!

  • Thanks for posting that Colum! That'd be a good way to go about this for now until the discussed audit reports can give us something in the UI.
